Please read these Terms and Conditions carefully before booking or attending any appointment with Rosie Quayle Speech and Language Therapy. By booking an appointment or using our services, you agree to be bound by these terms. If you are booking on behalf of a child or other person, you confirm that you have the authority to do so and that you accept these terms on their behalf.

1. About Us

Rosie Quayle Speech and Language Therapy is a private speech and language therapy practice based in England. The practice is operated by Rosie Quayle, a Speech and Language Therapist registered with the Health and Care Professions Council (HCPC) and a member of the Royal College of Speech and Language Therapists (RCSLT).

2. Our Services

We provide speech and language therapy assessment and intervention for children and adults. Services are delivered in person, at a venue to be confirmed at the time of booking, and/or remotely via video call using a secure telehealth platform. We will confirm the mode of delivery when you book. We reserve the right to change the mode of delivery where reasonably necessary, giving you as much notice as possible.

3. Booking Appointments

Appointments can be requested via our online contact form, by email, or by telephone. A booking is confirmed only when you receive a written confirmation from us. We reserve the right to decline any booking at our discretion. For new clients, an initial assessment appointment will normally be required before ongoing therapy is arranged.

4. Fees and Payment

4.1 Fee Schedule. Our current fees are set out on our website and will be confirmed at the time of booking. We reserve the right to review and update our fees with a minimum of four weeks' written notice to existing clients.

4.2 Payment. Payment is due at the time of booking or as otherwise agreed in writing. We accept payment via BACS bank transfer. Invoices may also be issued following a session, in which case payment is due within 14 days of the invoice date.

4.3 Non-Payment. Where payment is not received by the due date, we reserve the right to charge reasonable administration costs and to suspend further appointments until any outstanding balance is cleared.

4.4 Funding. If you are seeking funding through a third party (such as an EHC plan, insurance, or legal funding), it is your responsibility to confirm funding approval before sessions begin. You remain personally liable for any fees not covered by a third party.

5. Cancellation and Late Arrival Policy

5.1 Cancellation by You. We require a minimum of 48 hours' notice to cancel or reschedule an appointment without charge. Cancellations made with less than 48 hours' notice will be charged at 50% of the full session fee. Cancellations made with less than 24 hours' notice, or where you do not attend (DNA), will be charged at 100% of the full session fee.

5.2 Late Arrival. If you arrive late, the session will still end at the originally scheduled time and the full session fee will be charged.

5.3 Cancellation by Us. We will give you as much notice as possible if we need to cancel. Where we cancel with less than 48 hours' notice (except in emergencies), we will offer a replacement appointment or a full refund of any pre-paid fees for that session.

5.4 Repeated Cancellations. If you repeatedly cancel at short notice or fail to attend, we may review whether we are able to continue providing services.

6. Working with Children

6.1 Parental Consent. Where the client is under 18, a parent or person with parental responsibility must provide consent before any assessment or therapy commences.

6.2 Presence at Sessions. For children, a parent or carer must remain available for the duration of in-person sessions. For online sessions, a parent or responsible adult must be present in the same location as the child throughout.

6.3 Safeguarding. We have a duty to safeguard the welfare of children and vulnerable adults. Where we have concerns about safety or welfare, we may be required to share information with appropriate statutory agencies, regardless of consent.

6.4 Gillick Competence. Where a young person is assessed to have sufficient competence to make their own healthcare decisions, we may treat their consent as sufficient, in accordance with applicable law and professional guidance.

7. Online / Video Sessions

For online sessions, you are responsible for ensuring a reliable internet connection, a suitable device, and a private quiet space. Sessions must not be recorded by either party without prior written consent. We are not liable for disruption caused by technical issues on your side.

8. Confidentiality

Information shared in the course of assessment and therapy is held in confidence. We will not disclose information to third parties without your consent, except where required by law, where we have a safeguarding concern, where disclosure is necessary to prevent serious harm, or where required by our professional regulatory bodies.

9. Clinical Records

We maintain clinical records in accordance with HCPC Standards and RCSLT guidance. Records are stored securely and retained for the periods specified in our Privacy Policy. You have the right to access your records.

10. Disclaimer and Limitation of Liability

We will provide services with reasonable skill and care, but we cannot guarantee specific clinical outcomes. We do not exclude liability for death or personal injury caused by our negligence. Subject to the foregoing, our total liability shall not exceed the fees paid for the specific sessions to which any claim relates.

11. Complaints

If you have a concern, please contact us in the first instance. If you remain dissatisfied, you may raise a formal complaint in writing. We will acknowledge within 5 working days and aim to respond within 20 working days.

12. Intellectual Property

All materials and resources provided during therapy are the intellectual property of Rosie Quayle Speech and Language Therapy. These are for personal use in connection with therapy only and may not be reproduced or shared without prior written consent.

13. Changes to These Terms

We may update these Terms from time to time. For existing clients, we will provide written notice of any material changes at least four weeks before they take effect.

14. Governing Law

These Terms are governed by the law of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
